Classroom Diaries is a native macOS application that helps a language teacher record lessons, transcribe them on-device, extract the vocabulary that was taught, and add lesson entries to the teacher's own Google Docs. It is a local application: it has no accounts, no servers of its own, and no analytics.

What the developer collects

Nothing. Classroom Diaries sends no data to the developer. There is no telemetry, no crash reporting, and no usage tracking. All application data (recordings, transcripts, lesson history, settings) is stored locally on your Mac.

Audio and transcripts

• Lesson audio never leaves your Mac. Transcription happens entirely on-device using Apple's speech frameworks.
• When you run an extraction, the transcript text is sent to the Anthropic API using your own API key, solely to identify the vocabulary taught in that lesson. See Anthropic's privacy policy.
• That transcript is produced from your own lesson recording, on your Mac. It contains no data from Google: nothing the app reads from a Google Doc is ever included in what is sent for extraction.

Google user data

Classroom Diaries can connect to your Google account so it can add lesson entries to Google Docs that you choose. Its use of Google user data is limited to the following:

• Scope used: Google Docs (https://www.googleapis.com/auth/documents), plus your email address to show which account is connected.
• Writing: the app writes a single lesson entry into a document you selected, only when you explicitly choose to publish it.
• Reading: before writing, the app reads only the document body's structure (headings and their positions) to place the entry at the right date and to detect duplicates. Document content is not stored, analyzed, or used for any other purpose.
• Storage: the OAuth tokens for your Google account are stored only in the macOS Keychain on your Mac. No Google user data — raw, derived, or aggregated — is transmitted to the developer, sold, or shared with any third party.
• No advertising, no sale of data, no human access.

Google user data and AI

Classroom Diaries uses an AI model to identify the vocabulary in a lesson transcript, so it is worth being precise about what that model does and does not see:

• No Google user data is sent to the Anthropic API, or to any other AI or machine-learning service. The only thing sent for extraction is the transcript of your own lesson recording, produced on your Mac from your own audio.
• No Google user data — raw, derived, or aggregated — is used to develop, improve, or train any AI or machine-learning model.
• The app's use of the Google Docs API is effectively one-directional: it writes the entry you publish, and the structural read it performs beforehand exists only to position that entry and to detect duplicates. That read stays on your Mac and is discarded once the entry is placed.
• Anthropic states that it does not train its models on inputs or outputs submitted through the API.

The use of raw or derived user data received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements, and such data is not used to develop, improve, or train generalized AI and/or ML models.

How your data is protected

• Google OAuth tokens are stored in the macOS Keychain, protected by the operating system and your account credentials. They are never written into the app's own data files.
• Sign-in uses OAuth 2.0 with PKCE. The app never sees or stores your Google password.
• All communication with Google and Anthropic uses encrypted HTTPS connections.
• The app has no servers, no accounts, and no backend of its own. There is nowhere for your data to be collected centrally, and the developer has no technical means of accessing it.

Revoking access

You can disconnect your Google account at any time inside the app (Settings → Google Docs → Disconnect) or at myaccount.google.com/permissions. Disconnecting deletes the stored tokens from your Keychain.

Data retention

Retention of recordings, transcripts, and lesson history is controlled entirely by you in the app's settings, including per-class retention windows. Deleting data in the app deletes it from your Mac; the app never deletes content from your Google Docs.
